Refund Policy (Last updated: February 2025)

This Refund Policy outlines the terms and conditions governing refunds for services provided by Planmyhouse.ai (the “Company”). By using our services, you agree to this Refund Policy.

1. General Refund Terms

  1. Refunds are processed within twenty (20) business days from the date the refund request is approved. Bank transfer times are not included in this timeframe.
  2. All refund requests must be made in writing and submitted via email to team@planmyhouse.ai.
  3. Refunds are issued to the original payment method used by the Client.

2. Eligibility for Refunds

2.1. Refunds are only available if requested before the delivery of final project files.

2.2. If the Client terminates the agreement, a prior written notice of termination is required. Any expenses incurred up to the termination date will be deducted from the refund amount.

2.3. The deduction includes costs related to design work completed, administrative expenses, and any third-party services engaged.

2.4. Refund eligibility is determined by the project phase:

  • Conceptual Design Stage: 70% refund if terminated before the first design draft. 50% refund if terminated after the first draft but before approval.
  • Building Design Plans: 30% refund if terminated after the approval of Conceptual Design but before final plan delivery.
  • Permitting and Submittal Stage: No refunds are issued after the plans have been submitted to local authorities.

3. Non-Refundable Fees

3.1. Payments made for expedited services, change orders, and additional revisions beyond the initial scope of work are non-refundable.

3.2. Any fees paid to local or state authorities (e.g., plan check fees, permit fees) are not eligible for refunds.

3.3. Digital product sales (e.g., CAD files, PDFs) are non-refundable once delivered.

3.4. If the Client terminates the agreement after accepting the Terms of Service, signing the contract, and paying the invoice, a flat termination fee of $500 will be charged to cover administrative and setup costs. This fee is non-refundable and will be deducted from any eligible refund.

4. No-Refund Scenarios

4.1. Refunds are not provided in the following situations:

  • Missed deadlines caused by the Client’s delays or non-responsiveness.
  • Failure to disclose unpermitted structures or code violations.
  • Termination after the delivery of any initial design drafts.
  • Dissatisfaction with design aesthetics after approval of the Conceptual Design.

5. Partial Refund Guidelines

5.1. Partial refunds may apply when the Company has commenced but not completed services.

5.2. The refund amount is determined based on the percentage of work completed as of the termination date.

6. Review Process

6.1. Refund requests are reviewed within five (5) business days from the date of receipt. Clients will be notified of the approval or denial of their refund request via email.

7. Force Majeure

7.1. The Company is not liable for delays or disruptions caused by unforeseen events beyond its control, including natural disasters, government regulations, pandemics, or power outages. Refunds are not provided in such cases.

8. Termination by the Company

8.1. If the Company terminates the agreement for reasons beyond the Client’s control, the Client will receive a full refund of any payments made, minus expenses for work already completed.

8.2. If the termination is due to the Client’s breach of Terms of Service, no refund will be issued.

9. Dispute Resolution

9.1. Any disputes regarding refunds will be resolved through mediation administered by the American Arbitration Association (AAA) in accordance with its Mediation Rules.

9.2. Mediation will take place in California. If no resolution is reached within thirty (30) days, either party may seek other legal remedies.

10. Governing Law and Limitation of Liability

10.1. This Refund Policy is governed by the laws of the State of California.

10.2. The Company’s liability is limited to the amount paid by the Client.
